Five things to automate on WhatsApp this month

4 min read · 12 October 2026

For most small businesses in India, WhatsApp is where customers ask questions, book appointments and place orders. It is also where enquiries get lost: a message arrives while you are busy, you mean to reply later, and the customer goes to someone else. You do not need an expensive system to fix this. Start with these five things, most of which are free.

Before you begin, make sure you are using the WhatsApp Business app, not the normal WhatsApp app. It is free, it can use your existing business number, and it has the tools below built in.

1. A greeting message and an away message

Set up a greeting message that goes automatically to anyone who messages you for the first time, or after a long gap. Keep it short: thank them, say what you can help with, and when they can expect a reply.

Then set up an away message for when you are closed. Tell people your opening hours and that you will reply in the morning. A customer who knows when you will answer is far more likely to wait for you.

You will find both in the app under Business tools.

2. Quick replies for your most common questions

Most businesses answer the same few questions all day: the price, the location, the timings, how delivery works, whether you are open on Sunday. Write a clear answer to each one once, and save it as a quick reply.

In the WhatsApp Business app, each quick reply gets a shortcut. Type "/" in a chat and pick the answer, and the full message appears. It saves time, and every customer gets the same accurate answer, whoever on your team is replying.

3. Labels, so no enquiry is forgotten

Labels let you colour-tag chats: for example "New enquiry", "Quote sent", "Waiting for payment", "Order complete". At the end of each day, open the "New enquiry" and "Quote sent" labels and check that nobody is waiting for a reply.

This one habit stops more lost sales than any software. It also tells you how many enquiries you get each week, which is the first number every business should know.

4. A catalogue, so people can see what you offer

The catalogue lets you list your products or services with photos, prices and descriptions inside WhatsApp. When someone asks "what do you have?", send the catalogue instead of typing a long reply or sending twenty photos. Customers can browse it in their own time and ask about the item they want.

5. A follow-up after every quote

Many customers who ask for a price are genuinely interested, but busy. If you never hear back, it does not mean "no". Make it a rule to follow up two days after every quote, with a short, friendly message asking whether they have any questions.

You can do this by hand using a quick reply and a "Quote sent" label. When you have more enquiries than you can track by hand, this is the first thing worth automating properly, so every quote gets a reminder without anyone remembering to send it.

When the free app is not enough

The WhatsApp Business app is designed for one phone and a small team. When you have many enquiries a day, several people replying, or you want messages sent automatically, such as order confirmations, appointment reminders or payment receipts, you need the WhatsApp Business Platform (often called the WhatsApp API), connected through an approved provider.

A few things to know before you go down that route.

  • Automatic messages that you start, such as reminders, have to use message templates that Meta approves first.
  • Customers must have agreed to receive messages from you.
  • Meta charges for some kinds of business messages, so check the current rates for your use.
  • It works best when it is connected to where you already keep your customer details, so every enquiry and conversation is recorded in one place.

Start small, this week

Do the first four this week; they are free and take an afternoon. Then watch your labels for a month. When you can see how many enquiries come in and how many get lost, you will know whether it is time for full automation.

If you want your WhatsApp enquiries, website forms and follow-ups connected in one place, that is our CRM automation service, which starts from ₹25,000 before GST. Message us on WhatsApp and we will look at what would save you the most time.
